Job Description

The Clerk III under limited supervision, performs diverse clerical, receptionist, and administrative duties following general procedures and requiring interpretation, judgment and initiative.
Skills: 


  • Ability to handle multiple phone lines and take messages accurately.

  • Ability to communicate effectively and tactfully, verbally and in writing. Simple mathematical skills and analytic ability.

  • Type at 50 wpm.

  • Basic word processing skills and basic Microsoft Excel Skills required.

Job Requirements

RESPONSIBILTY 


  • Assembles, arranges records. 

  • Files records and documents according to established filing system.

  • Reviews files for completeness.

  • Purges inactive records and sends to outside storage facility.

  • Complies with requests for medical records according to established policy.

  • Creates charts for newly assigned medical record numbers.

  • Maintains charts and records, and thins charts according to hospital policy.

  • Locates, retrieves, sorts, and sends/delivers patient charts.

  • Locates and prepares charts for admission, transfer, surgery, and discharge.

  • Prepares duplicate charts from microfiche as needed.

  • Answers the telephone, screens and routes calls, takes messages and relays information.

  • Greets visitors to the office, ascertains their needs, provides information, requests completion of forms, and informs staff of visitors' arrival.

  • Directs patients to appropriate units and offices.

  • Schedules patient appointments.

  • Locates proper medical and/or nursing personnel to handle emergencies.

  • Types proofreads, edits, copies; collates, and assembles a variety of materials such as correspondence, memos, reports, charts, reports, and documents.

  • Transcribes physician's orders as required.

  • Corrects and updates computer records; inputs and updates patients' dietary lists.

  • Inputs patient information into hospital system to provide departments with admission, transfer and discharge data. Maintains statistics, reconciles data to other sources, prepares and balances cash receipts, maintains expense records, reviews time cards and distributes paychecks.

  • Maintains census data and laboratory test data as required.

  • Transfers billing information to charge slips.

  • Maintains patient information status board.

  • Picks up, delivers, opens and sorts interoffice and external mail; brings priority items to supervisor's attention.

  • Serves as a messenger, picking up and/or delivering various items as needed.

  • Orders office and clinical supplies as requested; assists in care and maintenance of division equipment.

  • Schedules rooms and makes equipment reservations.

  • Coordinates and schedules meetings, appointments, and travel.

  • Assists with the preparation of meeting materials, agendas, notes and handouts.
