Administrative Assistant

Job Duties:

  • Scheduling and coordinating appointments, travel arrangements, meetings, and conferences.
  • Operates phone system to route and screen incoming calls and place outgoing calls. Screens incoming mail, publications and other correspondence. Responsible for overall office organization.
  • Writing and sending approved correspondence.
  • Taking meeting minutes and keeping files updated.
  • Creating and maintaining spreadsheets, databases, and other documents.
  • Reconciling invoices and credit card charges, tracking budgets, and completing expense reports.

Job Requirements

Administrative Assistant Qualifications:
  • 5 or more years of related administrative experience, preferably at an executive level., REQUIRED
  • Proficiency using Adobe Acrobat and the Microsoft Office Suite including Outlook, PowerPoint, Word, Excel, and Access.
  • The ability to handle sensitive information and maintain confidentiality
  • Ability to multitask and manage multiple projects and deadlines.
  • Excellent organization skills required, must be extremely detail-oriented.
  • Must be able to work independently.
  • Must have a high degree of professionalism, energy and flexibility.
  • Must be able to compose effective communications and reports.
  • Strong customer service skills with the ability to communicate effectively with internal and external business partners and employees at all levels within the organization.
