Job Description

The main function of an administrative assistant/executive assistant is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office. 

Job Responsibilities: 

• Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work. 

• Prepare invoices, reports, memos, letters, financial statements, and other documents. Will help run the on-boarding for each employee in the office. 

• File and retrieve corporate documents, records, and reports. 

• Open, sort and distribute incoming correspondence, including faxes and emails. 

• Prepare responses to correspondence containing routing inquiries.  

Job Requirements


• High School Diploma/GED required 

• Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills. 

• Strong experience in Calendar scheduling within MS Outlook – meetings, travel, etc. The person will be sending out a lot of emails throughout the day and communicating with different offices. 

• Ability to work independently and efficiently. Very minimal supervision, he/she will be the only admin regarding an office of 20-30 people. 

• Ability to keep information organized and confidential. 

• Experience in Microsoft Word 

Preferred Requirements: 

• Proficient experience with Microsoft Word, Excel and PowerPoint. 

• SharePoint experience– basic utilization, manage sites, save/retrieve documents

• Previous oil and gas industry experience is a plus
